Classes & Scheduling

Setting up bookable services, group classes, and appointments, and running your calendar day to day.

Services

A Serviceis anything bookable one-on-one — a personal training session, a massage, a consultation. From the sidebar's Scheduling section, open Services and click + to create one: give it a name, duration, and price. Toggle it visible online if you want it bookable from your public storefront.

Classes & class schedules

Group classes work in two layers:

  • Class — the template: name, description, capacity, price, waitlist settings, which location/room it runs in, and which instructor teaches it. A class on its own has no fixed time.
  • Class Schedule — the recurrence attached to a class template: which days of the week it runs, start/end time, and a date range. Creating a schedule is what actually puts sessions on the calendar.
Note:Once you save a schedule, Zensile automatically generates the individual sessions on the calendar for the next several weeks. If you change the recurrence later, you can choose to regenerate future sessions to match — past and already-booked sessions are left alone.

To set up a new class: go to Classes, click + to create the template, open it, then add one or more schedules from its Schedules tab.

The Calendar

Calendar is where your day-to-day scheduling happens — it shows both class sessions and appointments in week/day/month views. From here you can:

  • Create a new appointment directly on the calendar.
  • Open a class session to see who's booked, add a walk-in, or check people in.
  • See at a glance which appointments have already been checked in — they're shown grayed out.

Bookings & waitlists

A Bookingis one member's spot in a specific class session. If a class is full but has waitlisting turned on, new bookings land on the waitlist instead of being turned away. A booking is normally paid for at the time it's made — either through checkout or by applying an eligible credit— but if no payment method is available yet it's created as unpaid rather than blocking the reservation, so staff can collect payment later.

Appointments

Appointments are one-on-one bookings against a Service. They can be created with or without a member attached — handy for holding a walk-in's slot before you know who's actually taking it. Like class bookings, an appointment for a priced service will first try to use an eligible credit, falling back to "unpaid" rather than blocking the booking if none is available.

Checking people in for classes & appointments

Checking a member into a class booking or appointment works the same way as the front-desk Check Inflow: it always succeeds, but if the member has something needing attention, you'll see an alert rather than an outright block.
